CapitaCase for Child Welfare uniquely manages all aspects of Statewide Automated Child Welfare Information Systems (SACWIS). The information to manage the child’s care is integrated, and the information is securely and selectively accessible to all approved users. Your Placement Providers can provide up to date information directly to the solution, so you always know placement availability.
The Child Welfare Programs & Services includes the following programs: Adoption, Child Protective Services, Independent Living, Interstate Compact, Family Preservation, Child & Family Services, Provider Services, and Foster Care.
The state requires a system that helps them efficiently and cost effectively manage the child’s housing and general welfare. CapitaCase’s classification functionality assists the case worker in making placement recommendations that will help them place the child in the most appropriate and available housing.
CapitaCase has a configurable workflow manager that displays a work list of all activities they need to perform. When an officer accesses the system, their prioritized work is displayed, and with one click they are focused on high priority tasks. Alerts can be sent to inform users of pending due dates and special handling situations. These alerts can be automatic as part of configured workflows, and is sent to work queues, calendars, and email.
The system can be easily configured through CapitaCase’s administration capabilities. A non-technical administrator can self-configure numerous functions, allowing agencies to keep the system optimized without additional vendor costs.
CapitaCase is built to scale and runs on any browser and device (desktop, tablet, and mobile devices) and is ergonomically designed with a standard GUI, making training easy and fast. Enter data only once, or get it automatically from interfaces.
Major Features of Capita Case Child Welfare Management
Eligibility & Redetermination: Automated eligibility determination, and periodic automated redetermination. Case Intake & Child Information: capturing the child’s pertinent information such as: demographics (age, gender, ethnicity, parent information, education, mental issues, medical issues, gangs, physical attributes, employment, and criminal history. Complete history of all child information, placements and programs. All historical changes are logged and accessible.
Child assessment & Case Planning: state or third party assessments to understand the child’s risks, needs, goals and interventions
Case Planning: A case plan is created to provide required services for the Child such as medical, mental, addictions, education, and many other programs. The case plan will identify the duration of each of the required programs. CapitaCase creates auto-generated case notes.
Supervisor Management: Supervisors need to be able to assign each child’s case to a case worker, and supervise the case workers performance to help the child. The supervisor needs to be able to balance the work load across their assigned case workers. The supervisor can easily see their entire workload, and can assign a weighting to each case based upon the complexity of work required. This allows the supervisor to more effectively manage their assignments and their case workers efficiency. CapitaCase keeps auditable logs of all activities.
Supervision Functions: Contacts, counselors, and referrals to service provider programs, and other child supervision services.
Referrals: handle referrals to other agencies.
Investigation & Disposition: Cases can be referred for investigation, and investigation data and Disposition decisions are captured and managed.
Work Flow Management: configurable tasks and alerts/notifications control each users work queues and priorities. Alerts go to your work queue, calendar and email/phone.
Placements: The child may require a temporary or a permanent housing option. There are a variety of housing options that the case worker will work to assign the child to. Foster homes, adoptions, institutions, private housing, and others.
Placement Recommender: Capita Case can classify the child’s information and needs, and then make placement recommendations based upon the child’s information, assessments, and housing option availability.
Title IV-E: Managing and tracking eligibility and Federal funding Sealing, unsealing, and purging: Case management to seal, unseal, purge, consolidate and unconsolidated cases
Housing Provider Portal: Housing Providers are individuals, private companies, and institutions that offer a variety of housing options. For each provider the system will track all children assigned, availability for more children, payments to the provider, child reviews and incidents. The Housing Provider will have direct access to a web portal that allows them to enter information directly into Capita Case. This saves the State a lot of work, and provides accurate and up to date housing information.
Continued Child Support: Case workers will have periodic contacts with the child, as well as help them when placements or programs are unsuccessful and new placements are necessary.
Service Providers: Companies that offer services to the child such as alcohol rehabilitation, drug rehabilitation, education, mental services, medical services, anger management, and many others.
Financials: Capita Case has a comprehensive financial management system. This tracks and manages all fees for service providers and housing providers, counselors and other payments that need to be tracked and paid. You can also have a General Ledger, account summaries, check writing, and other financial capabilities.
Incidents: A record is maintained of all child incidents/issues.
Reporting: There are many levels of reporting from high level executive views to operational reports for each operational areas. Some sample reports include:
